Add Data

Bring bank activity and supporting documents into a client book from the appropriate source.

Use Add transactions when the Banking feed is missing activity or evidence. Choose one source for each period and account, then verify its coverage before posting.

Open the source menu

Select a client, open Banking, and select a bank or card account. From the account feed, choose Add transactions.

The available choices depend on the account and its connection:

  • Manually — enter and post a transaction directly.
  • Statements — import bank or credit-card activity from statement files.
  • Fetch from Bank — pull the latest activity for a connected account.
  • Checks — upload a PDF or spreadsheet, or enter a check manually.
  • Receipts & Invoices — upload receipts, invoices, bills, and other backup files.

Before you begin

  • You need write access to the client and an eligible account selected in Banking.
  • Confirm the account, date range, and existing feed coverage. Overlapping a connection, statement, and manual entry can create duplicates.
  • A closed period prevents new ledger postings dated inside the closed range, even if source files can still be uploaded.
  • Keep the original source document. Extraction and AI suggestions must still be checked against it.

Enter a journal entry

  1. Choose Add transactions > Journal entry.
  2. In Journal entry, enter the date, amount, description, and balanced journal coding.
  3. Add the payee, memo, tags, or type when applicable.
  4. Review the bank-side and offsetting account lines.
  5. Choose Create & post.

This action posts the transaction immediately and makes it available in the selected Banking account and financial reports.

Write a check

Use Write check when you are issuing a new check from Wesley. Wesley records the check on its issue date and keeps it outstanding until it clears the bank.

  1. Open the checking account in Banking.
  2. Choose Add transactions > Write check.
  3. Enter the payee, check date, and optional check number. Wesley can assign the next numeric number for that bank account.
  4. Add one or more category detail lines with accounts, amounts, and optional tracking tags.
  5. Choose voucher or standard preprinted check stock.
  6. Select Create & print check, or clear the print option to record the check without opening the PDF.

The check debits the selected detail accounts and credits the checking account. When a Banking source row for the cleared check arrives later, match it to this posted check instead of categorizing it as a second expense. A completed bank reconciliation also clears the outstanding check.

If the check pays a bill already entered in Wesley, open the bill in Payables, choose Record payment, and select Check so the payment closes the correct vendor balance.

Upload statements

  1. Choose Statements and upload the bank or credit-card statement files for one account and period.
  2. Confirm the selected account and document grouping. If your accounting firm has Experimental Features enabled, every CSV or Excel statement opens a mapping review. Choose the worksheet and header row, then confirm each source column before uploading. Date and Description are required, together with either Received/Spent columns or one Amount column. When an unsigned Amount uses a separate transaction-type column, also map Type and confirm which values mean received or spent. Optional fields are Payee, Ref, Category, Reconciled, and Balance.
  3. Monitor the files under Statements & API. A file can be queued, processing, require review, complete, or flagged for possible duplicates.
  4. Preview the result. Compare statement dates and balances, transaction descriptions, amounts, signs, and page coverage with the original file.
  5. Resolve account mapping and possible duplicates before using the extracted activity in the feed.

Processing is not the same as posting. Extracted transactions still need to be reviewed and categorized.

Fetch a connected account

  1. Select the connected account.
  2. Choose Add transactions > Fetch from Bank.
  3. Confirm or review the historical start date when prompted.
  4. Start the fetch and wait for the connection status to refresh.
  5. Compare the newly available range with prior statements or the institution before review.

Transactions before the selected start date may not be added. Confirm the imported date range before assuming the account is complete.

Add checks or supporting documents

Choose Issued checks for checks issued outside Wesley. Match cleared checks to imported bank activity, or record unrecorded checks as outstanding until they clear. Review the account, check details, payee, date, amount, and coding before posting.

Choose Receipts & Invoices for backup documents. These uploads are stored in Shared Files. Wesley can suggest links to existing transactions and prepare unmatched documents for review or a new entry. Confirm the match yourself so the same expense or revenue is not posted twice.

For client-requested files and folder organization, see Shared Files. The separate document-conversion tool is for extracting or exporting document data; it does not automatically add that data to this client book.

Result and side effects

  • A manual transaction immediately creates ledger activity and a posted feed row.
  • A direct check immediately creates balanced ledger activity, remains outstanding until cleared, and can open a print-ready PDF.
  • A statement or connected fetch adds transactions that may still be uncategorized.
  • A receipt, invoice, or bill becomes a shared file and can be linked to existing activity or used to prepare new work.
  • A check may still require review before it affects the books.
  • Wesley may flag possible duplicates, but you must still confirm that every transaction is unique and correctly coded.

Correct or undo an import

  • For a mistaken manual posting, open the transaction and unpost it, or correct the underlying journal as permitted. Reconciled or closed-period entries need extra care.
  • For an incorrect imported transaction, determine whether it is a duplicate, belongs to another account, is a transfer, or falls outside the intended date range before changing it.
  • For a mistaken document link, unlink the supporting file and attach it to the correct record. Removing the file itself can affect other linked work.
  • Deleting a processed statement is permanent. It removes the imported batch and unposts transactions created from that statement. The deletion is blocked if a closed period or another restriction prevents those transactions from being unposted. Preserve required evidence and review the full batch before confirming.

Troubleshooting

Fetch from Bank is missing. It appears only when the selected account has a supported connection. Check the account's connection state or use a statement.

The statement is still processing. Leave the file under Statements & API and check again. Re-uploading the same file can create duplicate candidates.

The extracted totals or dates are wrong. Compare every page, account identity, date range, signs, and balances with the source. Keep the item in review until corrected.

Rows appeared twice. Check whether the same period came from both a feed and statement, or whether a file was uploaded twice. Do not post both copies.

Create & post is blocked. Confirm write access and check whether the journal date falls in a closed period.
