Charges by Payee or Account

Find every posted charge for one payee or chart-of-accounts account and export the detail.

Use the Payee-Account report when you want to answer questions such as:

  • How much did we spend with Facebook?
  • Which payees make up Marketing expense?
  • Which accounts were used for one payee?
  • Which journal lines make up an account or payee total?

Payees include vendors, customers, employees, and journal lines without an assigned payee.

Before you begin

The report reads posted journal activity. An uncategorized Banking transaction does not appear until it is posted or matched to a posted journal entry.

Set the date range to the earliest date you want to inspect through today. To reproduce “all charges ever,” start with the earliest bookkeeping data imported into Wesley. Wesley cannot report activity from dates that have not been imported.

If one business appears under several payee names, such as Facebook, Meta, or a card-statement description, assign or merge the intended payee before relying on its total.

Open the report

  1. Select the client.
  2. In the client sidebar, open Reports → Payee-Account.
  3. If Payee-Account is hidden, select Show more in Reports or expose it with Customize Sidebar.
  4. Set the report's start and end dates.

Example 1: Find every Facebook charge

  1. Select Payee → Account.
  2. Enter Facebook in Filter account or payee.
  3. Expand the Facebook row to see the accounts used for that payee.
  4. Select an account row to inspect only that Facebook-and-account combination, or select the Subtotal row to inspect all posted Facebook journal lines.
  5. In Journal Lines, review the dates, references, accounts, memos, debit amounts, and credit amounts. Select Excel if you need the line-level result outside Wesley.

For a normal expense, charges usually appear in Debit and refunds or reversals usually appear in Credit. Net is debit minus credit. Confirm the entry detail when the sign or account treatment is unusual.

Example 2: Find every Marketing charge

  1. Select Account → Payee.
  2. Enter Marketing in Filter account or payee.
  3. Expand the Marketing account to see the payees that make up its activity.
  4. Select a payee row to inspect that combination, or select the Subtotal row to inspect all posted journal lines in the Marketing account.
  5. Select Excel in the detail window for the supporting lines, or use the page-level Excel button for the filtered matrix.

If Marketing has subaccounts, review each matching account shown in the report so the result includes the full account family intended by the client.

View a financial statement by Payee

On Profit and Loss or Balance Sheet, open View by and select Payee to display a column for each vendor, customer, employee, or unassigned payee with posted activity. Wesley loads Payee columns in batches, so the statement appears first and the remaining columns fill in progressively.

Wait until the loading message is gone before exporting. Excel is available for the completed Payee view. PDF and report-package export are not available for this view; switch View by back to Total only, a time period, Class, Location, or Project when a PDF is required.

Use General Ledger for a traditional ledger view

Open Reports → General Ledger when you prefer a running-balance report with entry dates, references, payees, memos, and split accounts.

  • For Facebook, set the date range and choose Facebook from Payees.
  • For Marketing, set the date range and choose the Marketing account from All accounts.
  • Apply both filters together to see only Facebook activity posted to Marketing.

The General Ledger export follows the selected date, account, and payee filters.

If a charge is missing

  • Confirm that the date range covers the charge.
  • Confirm that the Banking transaction is posted or matched, not still uncategorized or excluded.
  • Clear the search and check whether the charge uses another payee name or has no payee assigned.
  • Check whether it was posted to a Marketing subaccount or another expense account.
  • Open the supporting journal line and verify its date, payee, and account.

See Transaction Review if the source transaction still needs to be posted, matched, or corrected.
