Reconciliation

Compare posted balance-sheet account activity with a statement, resolve differences, and save balanced evidence.

Reconciliation records which ledger transactions agree with a statement for a period. It supports eligible balance-sheet accounts, including bank, credit-card, clearing, and loan accounts. Resolve the difference to one cent or less before saving the final report.

Open Reconciliation

Select a client, then choose Reconciliation in the client sidebar. The overview lists eligible balance-sheet accounts, recent saved reports, and drafts.

Choose New reconciliation for a new period. You can also open an account from Banking and choose Reconcile, or select Resume draft when a draft exists.

Before you begin

  • You need write access to save or change a reconciliation. Read access can inspect saved reports.
  • Finish or deliberately defer the account's transaction review. Only ledger activity can be cleared in the worksheet.
  • Have the source statement and its opening date, opening balance, ending date, and ending balance.
  • Check that the relevant dates are not closed if you expect to post or correct transactions during reconciliation.
  • Resolve duplicate accounts and major source gaps before clearing rows.

Set up the period

  1. Choose the eligible balance-sheet account or accounts to reconcile.
  2. Enter the Opening date and Opening balance.
  3. Enter the Ending date and Ending balance from the source statement.
  4. Review any suggested period or balance context from earlier saved reports and posted ledger activity.
  5. Confirm that the opening balance logically continues from the prior report before opening the worksheet.

A statement-period shortcut may prefill dates or balances. Treat it as a convenience and verify it against the actual statement.

Clear the statement activity

The worksheet uses account-specific activity columns. Bank accounts show Checks and Payments followed by Deposits and Other Credits. Credit-card accounts show Charges and Cash Advances followed by Payments and Credits. Mixed or other eligible account selections use neutral Decreases and Increases labels. The worksheet can include current-period, prior-period, and already-reconciled rows.

Each transaction table shows Date, Ref, Payee/Memo, Split, and Amount. Select a column heading to sort it, or use the filters directly below the headings to narrow several columns at once. Ref uses the available check number, source reference, or transaction type.

  1. Compare each ledger row with the statement by date, amount, description, and source evidence.
  2. Select the rows that cleared the statement.
  3. Use search, column filters, sorting, and pagination to locate items, and open supporting documents or transaction detail when needed.
  4. Watch the summary: Beginning balance, the account-specific activity totals, Cleared balance, and Difference.
  5. Investigate missing, duplicate, mistimed, or incorrectly coded activity instead of selecting a row merely to force zero.

Draft selections save automatically and appear as Draft saved. You can resume a draft only in the same browser on the same device; it is not shared with the rest of the firm.

Save the report

Choose Save report when the selections accurately describe the work performed and the difference is one cent or less. A larger nonzero difference cannot be saved as a final report; Wesley keeps the local draft so you can investigate or correct the underlying activity.

Saving creates the report, marks the selected rows as reconciled, and clears the local draft.

Review and export saved evidence

Open a saved report to review its dates, reconciled-by information, notes, source documents, and selected transactions. From the report you can export PDF or Excel, edit report dates, change notes or file name, and delete the report when authorized.

For very large reconciliations, the saved report shows cleared totals and counts instead of rendering thousands of detailed cleared rows. Wesley still preserves every cleared journal-line association used to determine reconciliation status.

The saved report keeps its canonical account label, including the account code and full name, even if the live chart-of-accounts name changes later. The report list, detail view, PDF, Excel file, and default export filename all reuse that saved label. A custom report title remains separate from the account label.

When a report has a nonzero difference, Investigate can help analyze possible causes. You can attach source documents or continue without them. Review its findings before approving any change to the books.

Result and side effects

  • Saving records a reconciliation report and marks its selected ledger rows as reconciled.
  • The report preserves the calculated difference at save time.
  • Saving removes the draft for that account and period.
  • Later journal changes can alter the live ledger without rewriting the saved evidence, which may cause the report and current general ledger to disagree.

Correct, delete, or restart

  • Before saving, use Discard draft to remove the local work. A discarded draft cannot be restored.
  • Edit report dates, notes, or file name from the saved report when those details—not the underlying accounting—need correction.
  • If the accounting needs correction, fix the underlying transactions or journals, then review reconciliation again.
  • Deleting a saved report cannot be undone. It removes the saved report and its reconciliation association; confirm the account's feed and reconciliation state afterward.

Never delete a report just to conceal a difference. Preserve or export evidence when the report supports a completed period or audit trail.

Troubleshooting

The opening balance does not continue from the prior report. Check prior-period transactions, changes to reconciled journals, the selected account, and the previous report's ending balance.

A statement row is missing. Confirm it was imported, posted to this bank account, dated within the search range, and not filtered out. Add or match it through Banking if necessary.

The same activity appears twice. Compare the imported transaction with the ledger entry before clearing either one. The imported transaction may need matching or exclusion instead of another posting.

A draft is missing on another device. Resume it in the original browser and device, or start a new draft from the statement.

Save report says to resolve the difference. The difference is greater than one cent. Use Investigate or correct the underlying activity; the local draft remains available.

A saved report no longer agrees with the ledger. Review journal edit history and reconciled-row warnings. Reperform the reconciliation after approved corrections.
