Maintain the lists and subledgers that support consistent transaction coding and reporting.

Wesley keeps the accounting records that sit around the general ledger in one client book. Set these up before heavy transaction review so that account, payee, and tracking choices stay consistent.

What lives here

  • Chart of Accounts contains the ledger accounts used by journals, Banking, reconciliations, and reports.
  • Payees and Tags covers vendors, customers, employees, classes, locations, and projects.
  • A/R & A/P tracks invoices, bills, balances, and QuickBooks imports.
  • Fixed Assets builds depreciation or amortization schedules and posts their journal entries.
  1. Confirm the chart of accounts and the bank or card accounts that should appear in Banking.
  2. Import or create the vendors and customers needed for the first review period.
  3. Create classes, locations, or projects only when the client actually uses those dimensions.
  4. Import or enter open receivables and payables.
  5. Set up fixed assets from balance-sheet activity or create them manually.

Keep records connected

These lists are not isolated address books. A vendor, customer, employee, class, location, or project can be attached to journal lines and used in transaction rules and reports. Deactivating a record keeps its existing links; deleting is more restricted and may be blocked when accounting activity still refers to the record.

Use the client-level Audit Logs when you need to identify who changed a record or setting.
