Learn the firm workspace, client workspace, client settings, navigation, AI Mode, and client portal boundaries.

Wesley separates portfolio administration from the accounting work for an individual client. Knowing which workspace you are in prevents changes to the wrong firm or book.

The three working spaces

Firm workspace

The firm workspace contains the client portfolio and firm-wide operations. Its sidebar includes:

  • Clients for portfolio status, filtering, client creation, and multi-client actions;
  • Monthly Close for firm-wide period status, linked-task progress, readiness, and review queues;
  • Bookkeeping Pace for posted category-assignment throughput, goals, and weekly contributor detail;
  • Timecards for weekly or monthly staff time;
  • Billing for subscription and invoice information available to your role;
  • Members for firm invitations, roles, membership types, and staff client access;
  • Settings for firm name, check posting policy, branding, and reusable firm assets.

Use the firm switcher in the top bar to change organizations or choose New workspace. The command search can also navigate to common firm and client pages.

Client workspace

Select a row on Clients to open that client’s accounting workspace. The client switcher at the top of the sidebar changes books; always recheck the displayed client name before posting.

The client sidebar is grouped by purpose:

Some items, including Fixed Assets, Integrations, and several advanced reports, are hidden by default. Select Show more for the section or Customize Sidebar to keep frequently used pages visible.

Inside Client Settings, Bookkeeping Guide appears directly below Client Information and combines standing bookkeeping instructions with transaction Ref defaults.

Client portal

The client portal is the client-facing space opened from Client Portal. It is not the same as a firm membership. Firm users control portal invitations under Manage ClientClient Access; portal users do not grant themselves firm or client-book access.

Client Settings

Select Client Settings to leave the accounting sidebar and open these client-specific settings:

  • Client Information for the company profile;
  • Integrations for external connections;
  • Assignments for the firm members responsible for the client;
  • Client Access for client portal users and invitations;
  • Audit Logs for recorded changes;
  • Danger Zone for critical client actions.

Use Back to client to return to Banking. Assignment is a workflow responsibility and does not by itself grant access; see Roles and Permissions.

Sync

The status near the top of the client sidebar reads Sync: QuickBooks for a connected QuickBooks Online or Desktop company and Sync: Not connected otherwise. Select it to open the client’s sync page. A connected label does not prove that every dataset is current, so review the sync details and any errors before relying on imported activity.

AI Mode

The bottom of the client sidebar shows AI Mode:

  • Self-Driving categorizes every transaction unless it is flagged for check review.
  • Collab categorizes routine repeat transactions and leaves the rest to the team.
  • Off supplies suggestions while the team categorizes every transaction.

Changing the mode changes future division of work. It does not turn prior transactions into reviewed accounting evidence.

A normal trip through one client book

  1. Read the Bookkeeping Guide for client-specific context.
  2. Confirm source connections under Integrations and the Sync page.
  3. Maintain the Chart of Accounts, payees, and tracking dimensions needed for coding.
  4. Work pending activity in Banking.
  5. Resolve missing evidence through Client Work or Shared Files.
  6. Review Journal Entries and complete Reconciliation.
  7. Start Book Close, finish the linked client tasks, submit for review, approve, lock the period, and deliver the financial or client reports.

The exact pages you can view or edit depend on firm role, Internal or Extended membership, effective client access, client status, and configured integrations.
