Client Portfolio
Use the Clients page to find work, inspect portfolio signals, customize columns, and act on selected clients.
Open Clients from the firm sidebar. The page shows only clients available through your firm access, and it defaults to active clients.
Open Monthly Close from the firm sidebar when the team needs period-close oversight rather than general bookkeeping queues. Choose a month to see every active client’s close status, linked-task progress, action reason, due date, current assignees, and review state. Use Action required for overdue closes, requested changes, and open accounting or client-request exceptions. Normal incomplete close work stays in the progress column. Submitted closes appear in Awaiting review, while approved closes appear in Ready to close until the period is locked.
Read the portfolio summary
The header summarizes:
- Clients, including the active count;
- Pending Transactions;
- Docs to Review;
- Tasks Open;
- Reconcile Issues.
Select Pending Transactions, Docs to Review, or Tasks Open to narrow the table to that queue. Reconcile Issues is a status count; use the alert in the affected client row to open its latest failed reconciliation.
These counts are operational signals, not proof that a book is complete. A client can have no pending transactions and still require reconciliation, journal review, or source-data follow-up.
The Monthly Close dashboard combines those operating signals with a period-specific close run. Use the client’s Book Close workspace for linked-task progress, readiness detail, reviewer note, approval, journal lock, and event history. The tasks themselves remain in the same top-bar and Clients-page task surfaces used for everyday work.
Search and filter clients
- Use Search clients... for a client name.
- Open Status to include Active, Inactive, or both. Active is the default.
- Select Customize to open additional filters.
- Use AI Filter for a plain-language request such as
active tech clients, then select Apply and inspect the applied result. - Use Feed Transaction or Journal Entry with Before or On/After and a
yyyy-mm-dddate to find stale or current activity. - Turn on Pending transactions > 0 or Docs to review > 0 when you need those queues.
- Select Clear all to remove the advanced filters.
The Tax Status shortcut filters Closed or Open for the year shown in the interface. Confirm that year before using the results.
Filters update the visible rows. Confirm the filter badges and result set before using Select all visible or any selected-client action.
Choose useful columns
In Customize → View Columns, show or hide:
- Feed & Journal for the latest feed activity and book activity dates;
- Pending & Alerts for pending transactions and alert badges;
- Tax Status for the year-specific open or closed indicator shown in the interface;
- Integrations for QBO, QBD, Shopify, Square, or TikTok connections shown for the client;
- Assigned for responsible firm members and the client AI Agent control.
Interpret a client row
The row can show the client and industry, open tasks, latest Feed and Books activity, pending transaction count, and alert badges. Depending on activity, alerts can represent documents to review, unread comments, pending rules, bulk suggestions, statements in progress, recommendations running, or reconciliation issues.
Hover or select an indicator for its label instead of inferring its meaning from color alone. Select the client row to open the client workspace. Use the integration badge or Add in the Integrations column to open that client’s integration controls.
Work with selected clients
Select one or more visible rows. The action bar provides:
- Email clients, when the current membership and configured recipients allow it;
- Add task to create work for the selected clients;
- Assign to change responsible members who already have access;
- Rename, available when exactly one client is selected;
- Update Industry;
- Activate or Inactivate, available to an Owner when the selection contains clients in the relevant status.
Review the selected count and every confirmation or recipient preview. Inactivating a client makes its transactions, journals, and accounts read-only until reactivated.
Create client records
- Add client requires a client name and AI Mode, then opens required onboarding.
- Bulk create accepts a CSV with one client-name column. The header is optional; only the first column is used.
After a bulk create, review the reported created, duplicate, invalid, and failed counts. Every newly created client still needs its own onboarding before normal client work can begin.
Permissions and caveats
Owners alone can activate or inactivate clients from the portfolio. Internal owners and managers control assignments. The clients visible to Staff depend on effective client access, and an assignment does not grant access. See Members and Access when a member or client is missing.
