Connecting Bank Accounts
A concise setup checklist for live Plaid feeds, account mapping, reauthorization, and safe removal.
Wesley connects live bank and credit-card feeds through Plaid. Use this checklist for routine setup; see Bank Feeds (Plaid) for sync behavior and the complete disconnect warning.
Before you connect
- Open the correct client book.
- Confirm the client authorized access to the institution.
- Identify the exact business accounts to include.
- Check whether the same date range already exists from Plaid, a statement, QBO/QBD, or manual import.
- Decide whether each bank or card account should link to an existing ledger account or create a new one.
Connect
- Go to Settings > Integrations > Bank Feeds (Plaid) or start from Banking.
- Choose Connect Account.
- Find the institution and complete the Plaid login and consent flow.
- Select only the accounts Wesley should sync.
- Map every selected bank or card account to the matching Wesley account.
- Confirm the account type and transaction start date.
- Review the opening-balance choice and start the sync.
- In Banking, verify the institution, account names, first transaction date, and latest sync state.
If the institution is already connected, open the existing connection and select the additional account instead of connecting the institution again.
Map the account correctly
Link an existing ledger account only when it represents the same real-world bank or card account. A current or available balance reported by the institution is not a book balance. Use reconciliation to establish whether the ledger is correct.
Choose a manual banking account when no live institution connection is available. Manual accounts accept uploaded or entered activity. If a live feed becomes available later, explicitly link that same ledger account during Plaid setup; Wesley replaces the manual connection atomically while preserving its QuickBooks, statement, journal, and reconciliation history. Choose a start date after the existing imported range to avoid overlap.
Leaving an account unselected in Wesley's setup dialog does not revoke the bank's Plaid authorization. To stop sharing an account with the current client, open the institution's Manage accounts (Update Mode) action and remove it in Plaid. Wesley marks a previously linked account disconnected and stops future automatic syncs without deleting its accounting history. The retained ledger account can still receive statement uploads, or it can be reconnected to Plaid later.
After the first sync
- Compare the imported date range with the bank statement.
- Review rows marked for duplicate checking.
- Confirm the opening-balance entry appears no more than once.
- Categorize, match, transfer, exclude, or post transactions.
- Reconcile to the statement.
Reauthorize
Use the existing connection's update or reconnect action when the integration shows Needs attention or an authorization error. Reconnecting preserves the account mapping and history more safely than disconnecting.
Disconnect only after reviewing the impact
Plaid disconnect is destructive in Wesley. Review the mapped accounts, imported transactions, related journals, opening balances, rules, and closed periods before confirming. Disconnect can remove imported transactions, related postings, opening-balance entries, and accounts created only for the connection. Accounts used elsewhere remain, while closed periods or later accounting activity can block removal. If Wesley reports that the disconnect did not finish, retry from the existing connection instead of immediately connecting a replacement.
If the goal is only to repair authorization, use reconnect. If the goal is to stop one selected account, use Manage accounts (Update Mode) and deselect it while leaving the institution connected.
Quick troubleshooting
| Problem | Check |
|---|---|
| Institution not found | Search by legal name and online-banking URL; use statement upload if Plaid does not support it |
| Login fails | Sign in at the institution first and resolve locks, consent, or multifactor prompts |
| Missing transactions | Account selection, start date, institution history limits, and latest sync error |
| Duplicate transactions | Overlapping Plaid, statement, accounting-system, and manual sources |
| Disconnect blocked | Closed period, later accounting activity, an account used elsewhere, or an unfinished disconnect |
Enter banking credentials only in the Plaid connection window. If a connection looks suspicious, do not continue syncing; review the connection and contact support.
