Members and Access

Invite firm members and manage roles, Internal or Extended membership, and Staff access to each client.

Open Members from the firm sidebar or choose Invite members from the workspace switcher. This page manages people who work inside the firm workspace. Client portal contacts are managed separately under the client’s Client Access page.

Who can manage members

  • An Internal Owner can invite Owners, Managers, or Staff; change roles, including lowering another Owner to Manager or Staff; manage Staff access; and remove non-owner members.
  • An Internal Manager can invite Managers or Staff and manage existing Staff.
  • Staff and Extended members see member information as read-only on this page.
  • An Owner cannot modify or remove their own membership. An Owner must first lower another Owner’s role before removing them. A Manager cannot manage an Owner or an existing Manager, and cannot change roles.

Invite a member

  1. Select Invite member.
  2. Under Type, choose Internal for accounting firm team members or Extended for external contractors, outsourced teams, or seasonal staff.
  3. Under Role, choose the role available to your own permissions. Extended members are always Staff.
  4. For Staff, choose Default client access: Write, Read-only, or No access.
  5. Enter the email and send the invitation.

The Members page shows the invitation under Pending invites until it is accepted. Use Send again to resend it or Cancel to invalidate it. Wesley prevents another invite when the email is already a member or already has a pending invitation.

Manage a Staff member

After the invitation is accepted:

  1. Open the Internal or Extended tab.
  2. Find the member and select Manage.
  3. Review Role, Membership, and Default access.
  4. Change the values permitted by your role, then select Save.
  5. Under Company access, search for a client and choose Default, Write, Read-only, or No access.
  6. Confirm the displayed Effective access for that client.

Default follows the member’s default client access. An explicit per-client value remains an override when the default later changes.

Owners and Managers display Full access and do not use per-client access selectors.

Access levels

AccessEffect for a Staff member
WriteThe member can open and edit the client book.
Read-onlyThe member can open and inspect the client book but normal write actions are unavailable.
No accessThe member cannot open that client’s data.

If a Staff member cannot find a client, check both the default and the per-client override. If they can open it but cannot edit, look for Read-only effective access or an inactive client status.

Assign the work separately

Use Clients → select clients → Assign, or open Client SettingsAssignments, to identify responsible team members. Only members who already have access can be assigned.

Assignment affects responsibility and filtering; it does not elevate Read-only to Write or change No access. Extended members can view applicable assignment information but cannot change assignments.

Manage portal contacts separately

Open a client, then Manage Client or Client SettingsClient Access to invite client-facing users. From there you can copy or open the portal URL, view Active and Pending users, control document request emails, revoke active access, or cancel a pending invitation.

That portal invitation does not create a firm member. See Roles and Permissions for the complete access model.

Before removing or restricting someone

Confirm their active client assignments and any work that must be handed off. Removing firm membership or setting No access can immediately prevent the person from opening client data; it does not reassign their outstanding responsibility automatically.
