Document Conversion

Convert statements, invoices, and receipts into reviewable CSV, QIF, QBO, QBD, or Xero-ready files.

Wesley’s document conversion workspace is a standalone preparation tool for source documents that are not yet usable transaction data. Sign in, open a document-conversion page, and upload the source files.

Supported input

The batch workspace accepts up to 50 files at a time in PDF, JPG, JPEG, or PNG format. It can detect and process:

  • bank statements;
  • credit-card statements;
  • invoices;
  • receipts.

When automatic detection is wrong, correct the document type before relying on the output.

Choosing an output changes the file shape; it does not import the file into the destination system.

Convert and review

  1. Upload the documents and confirm their detected type.
  2. Choose the output format.
  3. Start conversion and monitor file/page progress.
  4. Open the extraction preview.
  5. Compare dates, descriptions, references, amounts, signs, and balances with the source document.
  6. Edit incorrect cells.
  7. Review amber rows or cells marked needs review.
  8. Mark an issue resolved only after checking the source.
  9. Download the final file.

For large PDFs, use the page-by-page workflow to select all pages, a range, or custom page numbers. Failed or ambiguous pages can be retried with an instruction. Select only successful, reviewed pages for the consolidated output.

Reconciliation checks

When the source is a statement, Wesley can compare extracted movement with opening and closing balances and identify discrepancies. A passing check helps catch omissions or sign errors but does not prove that every merchant, payee, or account mapping is correct.

Credits

The workspace displays the current credit policy before processing. The default interface states that one credit covers up to 10 pages and each additional block of up to 10 pages uses another credit. Confirm the estimate shown for the current selection before starting; billing and promotional terms can change independently of this guide.

Move output into a client book

For Banking work, prefer the client’s account-level statement upload when you want Wesley to preserve the source, map the bank/card account, and create transactions inside the client book. Use standalone conversion when the goal is a reviewed handoff file for QBO, QBD, Xero, QIF, or another external import.

Never import the same activity through both a connected feed and a converted file without a duplicate review.
