Supported Files

Accepted upload and export formats, batch limits, and the right file workflow for each task.

Choose the upload surface that matches the intended outcome. Uploading a file to Shared Files stores evidence; uploading it to Banking or Document Conversion can also create extracted transaction data.

Choosing an output changes the downloaded file shape. It does not connect to or import directly into QBO, QBD, or Xero.

Report and reconciliation exports

Financial reports can be exported in PDF or XLSX where the report supports those formats. A combined Profit & Loss plus Balance Sheet export is XLSX-only. Reconciliation exports use the format choices displayed in that workflow.

File-handling rules

Avoid duplicate ingestion

Do not import the same activity from Plaid, a statement, QuickBooks, and a converted file without reviewing overlap. A file stored in Shared Files is only evidence until a workflow also extracts or links it; a file uploaded through Banking can create imported transactions.

Preserve the original

Keep the original statement or report unchanged. If you clean a spreadsheet for import, save it as a new file so reviewers can compare the transformation with the source.

Use searchable, complete sources

Include all pages, headers, account identifiers, date ranges, and opening/closing balances needed for review. Rotate pages correctly and avoid cropped screenshots. Password-protected, damaged, or unreadable PDFs can move to Needs review.

Verify spreadsheets

When Experimental Features are enabled for your accounting firm, every CSV, XLS, or XLSX Banking statement opens a mapping review before upload. Select the worksheet and header row, then confirm the source column assigned to each Wesley field. Column order does not matter. Date and Description are required, together with either Received/Spent columns or one Amount column. Optional fields are Payee, Ref, Category, Reconciled, and Balance. Accounting firms without the flag continue to use the existing spreadsheet conversion flow.

Keep one transaction per row. Put money entering the account in Received and money leaving it in Spent; do not include subtotal or summary rows. If the source uses one unsigned Amount column and a separate debit/credit marker, map its Type column and confirm which source values mean received or spent.

Gemini 3.5 Flash Lite can propose the worksheet, header row, source columns, and debit/credit labels for a nonstandard layout. This is only a first-pass suggestion: a person must review and explicitly confirm the mapping before the file can be uploaded. Wesley then reads the confirmed cells and checks the extracted statement with deterministic code rather than asking AI to interpret each transaction.

Review extracted data

Compare dates, descriptions, references, debits, credits, signs, and statement balances with the source. Resolve amber or Needs review items before downloading or posting.

Treat import-ready files as a handoff

QBO CSV, QBD CSV, Xero CSV, and QIF outputs are preparation files. Import them in the destination only after reviewing its mapping screen and duplicate behavior.
