Shared Files
Organize firm and client documents, request missing files, and link evidence to accounting records.
Open Shared Files from the Client section. The page is a client-specific file library visible to authorized firm members and portal users.
Upload files
Drag files into the upload area or select Browse files. The current interface accepts PDF, Excel, image, and CSV files up to 50 MB per file.
Files are labeled by origin, such as Firm Upload or Client Upload. The upload origin helps explain who supplied the evidence but does not by itself confirm that the document was reviewed.
Organize the library
- Select New Folder to create a folder in the current location.
- Use the breadcrumb to return to a parent folder or the root.
- Search by file name across the current Shared Files view.
- Open a file in the browser or download the original.
- Select several files for a bulk delete.
Deleting a shared file removes it for everyone with access. Download or relocate anything the firm must retain before deleting it.
Request a document
Select Request, write a clear title and instructions, and send it to the client. The request appears as Client Work and in the portal. Active requests are summarized in the Shared Files sidebar.
A useful request identifies:
- the exact document or date range;
- the account, transaction, vendor, or reporting period it supports;
- an expected file format when that matters;
- why a previously supplied document is insufficient.
Link a file to accounting activity
Shared Files can display and manage links to:
- a bank/external transaction;
- a journal entry;
- a journal line.
Use document links to keep evidence close to the accounting record. A file is not automatically linked to Client Work, a reconciliation report, or a financial report merely because it was uploaded from those contexts.
Documents used for Banking
Bank statements and other transaction-source documents can also appear in the statement area for a Banking account. Use that account view when reviewing extracted transactions and Shared Files when organizing or delivering general client evidence.
