Firm Operations

Manage firm settings, timecards, bookkeeping pace, and billing.

The firm sidebar contains operational pages that apply across the organization. Use these pages for policy and oversight; use the client workspace for accounting entries and client-specific settings.

Monthly Close

Open Monthly Close to manage one accounting month across the client portfolio.

  • The status filters show all clients, clients requiring action, submissions awaiting review, approved closes ready to lock, closed clients, and clients that have not started.
  • Action required is limited to overdue closes, requested changes, and open accounting or client-request exceptions. Normal incomplete close work remains in the progress column.
  • Each row shows close status, linked-task completion, the primary action reason, due date, and the client’s current assignees. Hover over the action reason to see the complete breakdown.
  • Set up or Open opens that client’s Book Close workspace for linked-task progress, exceptions, and sign-off.

Readiness counts are current operating signals. The client close history is the audit record for submission, status reversal, review, approval, lock, and reopen actions.

General settings

Open Settings or choose Organization settings from the workspace switcher.

Firm name

Select the displayed name, enter the corrected Firm name, and select Save. The name identifies the workspace, so confirm that you are editing the correct firm first.

Check posting date

This firm-wide policy sets the journal entry date used for checks across every client:

  • Statement post date uses the date the check appears on the bank statement and is the default.
  • Attached check image date uses the printed issue date from an attached check whose number and amount match the transaction. A converted check without verified image evidence stays pending instead of falling back to the statement date.

Wesley stores and displays the selected value as the transaction and journal date; it does not keep a second posting date on those records. Clearing evidence remains available separately for reconciliation. Only firm Owners and Managers can change this setting. Review the effect with the firm before switching an established policy.

Branding and firm assets

Under Branding you can manage:

  • Firm logo, shown in firm navigation and the client portal;
  • the client portal primary color;
  • Firm assets, reusable images available when building report packages.

Logo uploads accept PNG or JPEG files up to 2 MB. Firm assets accept PNG, JPEG, or WebP files up to 8 MB each. Removing a reusable asset affects future selection; review existing report templates before removing shared brand material.

Timecards

Open Timecards to record or review weekly or monthly time for firm and client work.

Record time

  • Select Start in the Timecard control to run a timer. You can pause, resume, adjust, and stop it.
  • Select Add Timecard for a manual entry.
  • Enter the work date, time, activity code, client when required, billable choice, and note.

The list shows user, period, status, total, billable and non-billable time, and last update. Use the Weekly or Monthly control and the All statuses, Draft, Posted, or Locked filter. Open Edit to inspect entries; a Locked timecard is view-only.

Owners and Managers can select an available member for the time statistics view. Extended members see a narrower team scope according to membership rules.

Bookkeeping Pace

Open Bookkeeping Pace to review completed bookkeeping throughput across the firm. The page reads compact UTC-hour rollups of posted external transactions, then groups them in each viewer's browser time zone, so it does not scan the full audit-log history when it opens.

  1. Choose clients, or leave the scope at All clients for the workspace view.
  2. Choose a daily, weekly, or monthly period.
  3. Include or exclude the combined automation lane for AI and system work.
  4. Review completed category assignments, the 30-day monthly pace, and the current monthly and weekly goals.
  5. Owners and managers can set workspace goals for the current month and ISO week.
  6. Select a contributor to drill into their weekly pace.

Each assignment represents an external transaction posted to the books. It is a throughput measure, not a measure of time or accounting quality. Forecasting becomes available after at least 30 days of captured results.

Billing

Open Billing or choose Organization billing from the workspace switcher to review the subscription status, billing quantity, payment information, and recent invoices available to you.

Billing is unavailable to Extended members and may be read-only for other access levels. If you need to make a change that is not available, ask a firm Owner or Manager.

Operational review checklist

  • Confirm the firm-wide check posting policy before processing checks.
  • Keep member access and client assignments aligned but treat them as separate controls.
  • Review timecards as time records and Bookkeeping Pace as completed-throughput reporting.
  • Check billing status using the values in the workspace, not an old screenshot or quoted plan.
