Configure Integrations and Firm Admin

Diagnose connection and access issues without confusing source status with completed accounting work.

Use this workflow when accounting work depends on a bank connection, QuickBooks data, client authorization, member access, or an administrative setting. Make the smallest scoped change, verify it, and return to the operating workflow.

Find the relevant area

Integrations is hidden from the client sidebar by default. Open Customize Sidebar to show it. Client settings cover client-specific access and accounting setup; firm settings cover members, firm identity, and billing.

Read access may expose status without permitting changes. Client write access and firm role both matter. Internal owners and managers can permanently delete a client and control other high-impact client actions. Review Roles and Permissions before changing access.

Bank and card connections

Use the integration or Banking connection view to inspect institution, linked accounts, current status, sync history, and stale or broken states. Fetch from Bank appears in Add transactions only for a supported connected account.

A connected status does not prove complete coverage. Compare earliest/latest dates and statement evidence, then route fetched rows through Banking and Transaction Review.

When the client must authorize a connection, send a specific request through Client Work and verify the returned accounts before importing activity.

QuickBooks Online and Desktop

Inspect the connection before approving actions. In Journal Entries, review proposed QuickBooks differences and pending actions before syncing. Confirm account mapping, dates, direction, and every proposed record change; sync is not a blind overwrite.

Use the QuickTool for QuickBooks Online only for its documented use case. Do not treat an export or source refresh as a completed journal review.

Client and firm administration

In client settings, review details, assignments, access, accounting configuration, and audit history. Update accounts and tracking dimensions from their dedicated pages instead of changing broad settings to solve one transaction.

In firm settings, owners and managers can manage members and client access according to role. Firm profile, portal branding, subscription, usage, and invoice history belong to firm-level administration.

Audit and danger-zone checks

Use audit logs to identify who changed a connection, setting, or record and when. Before any danger-zone action, confirm the exact target, access level, and what will be affected. Inactive clients become read-only; permanent deletion is materially different and limited to internal owners and managers.

Verification checklist

After a change, confirm:

  • the expected connection or setting state;
  • exact accounts and date coverage;
  • mapping and possible duplicates;
  • who can read or write the client;
  • sync actions still waiting or showing an error;
  • whether the original Banking, journal, communication, or reporting task now works.

If the status does not update, refresh once, review the connection details and audit history, and document the blocker. Repeatedly reconnecting or importing can create duplicate activity.
