Recurring Bills
Schedule fixed A/P bills and manage future occurrences.
Use recurring bills for predictable obligations with stable amounts and coding, such as monthly rent. Each occurrence creates an unpaid A/P bill. Record vendor payments separately through Pay bills.
Create a schedule
Open Payables → Recurring bills → New recurring bill, or turn on Recurring bill in a new bill. Select the vendor, posting accounts, amounts, terms, next bill date, frequency and optional end date. Enter a template name and select Save recurring bill.
Saving stores the schedule without posting a bill. Active schedules are checked hourly using UTC calendar dates. Each check creates one due occurrence per selected schedule; overdue schedules catch up in later checks. Create next bill creates one due occurrence immediately. Future-dated occurrences cannot be posted early.
Each bill debits its selected expense or asset accounts and credits Accounts Payable. Inventory items follow the existing bill inventory posting rules. Payment terms are measured from each scheduled bill date. Monthly, quarterly and yearly schedules retain the original day, clamping to the last valid day in shorter months.
Manage future bills
Open a template's action menu to edit, pause, resume or delete it. Edits affect future occurrences. Changing Next bill date starts a new date anchor; existing bills retain their recorded details. Deleting a template stops future creation and preserves posted bills.
If the bill period is locked, reopen it and retry the occurrence. A failed occurrence retains its scheduled date. Retrying a successful occurrence returns the original bill, including when the original response was lost. Review the schedule's error message if a vendor, account or inventory item needs attention.
The recurring Profit & Loss forecast includes scheduled expense lines and excludes occurrences already created. Asset lines do not become forecast expenses.
